Hiring a full-time biller costs $60–80K/year plus benefits. BillBoss Managed handles submission, validation, payment-file reconciliation, denial review, partial-payment follow-up, and overdue-claim collection — for a fraction of the cost. Basic billing tools are included in DriveBoss Complete; Managed adds the DriveBoss billing team doing the work for you.

Pricing, billing, and what's included.

What is an active vehicle?

An active vehicle is a vehicle that DriveBoss has configured and enabled in the system on your account during the billing month, regardless of whether you actively used it for trips. At signup you tell us how many vehicles you need; we provision your account with a matching cap and bill you for that many vehicles each month. Vehicles that have been removed from your account before the start of a billing month are not counted.

How do I add or remove a vehicle?

Vehicle changes are handled by the DriveBoss team — not self-service. To add or remove a vehicle, send a written request to [email protected] with the company name and the vehicle(s) to add or remove. We typically action requests within one business day. This process keeps your billed vehicle count and your in-system cap in sync so you are never accidentally charged for capacity you didn't ask for.

What is a "completed or billable trip"?

A trip is considered billable to the provider if it is in DriveBoss and is not cancelled. Cancelled trips are never billable. This definition only applies to the 6,000-trip Enterprise threshold — standard DriveBoss Complete customers are billed per active vehicle, not per trip.

How does graduated pricing work?

Each vehicle is priced in its own bracket. If you have 15 vehicles, you pay $79 for each of the first 10 vehicles and $69 for each of the next 5 — a total of $1,135/month. Adding a vehicle never raises the price you're paying for vehicles you already have.

Do you charge per dispatcher, per driver, or per user?

No. DriveBoss Complete includes unlimited dispatchers, schedulers, billers, admins, and drivers. You pay per active vehicle. Always.

Do you charge per trip?

No — for standard DriveBoss Complete customers, pricing is per active vehicle regardless of trip volume. High-volume accounts (6,000+ trips/month or 100+ vehicles) may receive custom commercial terms through a signed order form.

Is there a setup, onboarding, or training fee?

No. Standard setup and onboarding are included. Advanced or custom training is available at $150/hour if requested.

What happens if I add a vehicle mid-month?

Email [email protected] and we'll add the vehicle to your account and raise your cap. Adding a vehicle at any point during the billing month triggers a full monthly charge for that vehicle — no proration. If we enable your new vehicle on the 28th of the month, you're charged the full monthly rate for it that month. Plan vehicle additions near the start of a billing cycle to get full-month use out of the charge.

What happens if I remove a vehicle?

Email [email protected] to request removal. To stop being billed for a vehicle starting the next billing month, your removal request must reach us by the 25th of the current month. Requests received after the 25th will take effect one billing month later. Removals do not produce partial refunds for the current billing month — the month you've already paid for remains in effect.

Can I pay annually for a discount?

Yes. Annual prepaid agreements save $10 per vehicle per month across all tiers.

Do nonprofits get a discount?

Yes. Qualified 501(c)(3) passenger transportation providers pay a flat $40/vehicle/month regardless of fleet size. Qualified nonprofit food or medication delivery programs pay a flat $39/month for unlimited qualifying deliveries. Eligibility verification required.

Is BillBoss included?

DriveBoss Complete includes billing and reconciliation tools — rate tables, auto-pricing, payment-file reconciliation, claim tracking. BillBoss Managed Billing (3% of ModivCare volume) is a separate managed service where DriveBoss handles the full billing cycle on your behalf. That service is optional and billed separately.

How do I cancel?

Month-to-month plans can be cancelled with 30 days' written notice, effective at the end of the following billing cycle. Annual prepaid plans run for the full 12-month term and are non-refundable, but you keep full access until the term ends.

Is my data HIPAA-compliant?

Yes. All data is hosted on AWS under a signed Business Associate Agreement covering all PHI. 256-bit TLS encryption in transit. Per-company database segregation and encryption at rest. 7-year minimum data retention on trip and billing records.
